How much does school or coaching management software cost in India?
Straight answer, with numbers. What school and coaching management software actually costs in India, what gets charged extra, and what we charge.
Two quotes on a desk, and no way to compare them
An owner we spoke to had two proposals in front of him. One said ₹15 per student per month. The other said ₹1,80,000, one time, plus 18% annual maintenance.
He had 420 students. He wanted to know which one was cheaper.
That’s a harder question than it looks, and the reason it’s hard is that almost nobody in this market publishes a price. You fill a form, you get a call, and the number you’re quoted depends on how big you sounded on the phone.
So here’s the honest version: what things actually cost, what gets added later, and what we charge. Some of this will help you buy from someone else, which is fine.
Why the price is hidden in the first place
Two reasons, and only one of them is bad.
The reasonable one: institutes vary a lot. A single-batch coaching centre with 80 students and a 2,000-student school with three branches are not buying the same thing, and a single number on a website would be wrong for both.
The other one: if the price is quoted on a call, it can be adjusted to what you look like you can pay. A CBSE school with a nice building gets a different quote than a coaching centre above a medical store. That’s not illegal, it’s just worth knowing before you pick up the phone.
The four ways this gets priced
Per student, per month. Usually somewhere between ₹10 and ₹50 per student. Looks tiny. We’ll come back to why it isn’t.
Flat monthly, by size band. You pay one price for your whole institute up to a certain size. Mid-market flat plans in India tend to sit between roughly ₹10,000 and ₹60,000 a month depending on size and how much is included.
One-time licence, plus AMC. Common with older desktop-era vendors and with custom-built portals. Typically a lump sum in the ₹1.5 lakh to ₹10 lakh range, then an annual maintenance charge of 15 to 20% of it. Cheap-looking in year four, expensive in year one, and you’re usually stuck with whoever built it.
Free or near-free. Real, and sometimes correct. If you have 60 students and one batch, a spreadsheet and a WhatsApp group genuinely might be enough. Don’t let anyone talk you out of that.
These are the ranges we see quoted, not a survey. Treat them as a sanity check, not gospel.
Why per-student pricing gets expensive exactly when you’re winning
Say you’re quoted ₹20 per student per month. You have 200 students, so ₹4,000 a month. Very easy to say yes to.
Two years later you have 900 students. Same rate, same software, same features. You’re now paying ₹18,000 a month. Nothing about your portal got better. You just grew, and the bill grew with you, because the price was attached to the thing you were trying to increase.
There’s a smaller version of this that stings more: seasonal batches. If you run a summer crash course and your headcount jumps for two months, a per-student bill jumps too. Ask what happens to the count when a student leaves, and how quickly it comes down. Some vendors count “students in the system”, not “students actually studying with you”, and old records keep billing.
We’re not saying per-student is a scam. For a small institute that intends to stay small, it’s often the cheapest option available. Just do the arithmetic at the size you hope to be, not the size you are.
What is almost never in the number you’re quoted
This is where two quotes stop being comparable. Ask about every one of these in writing:
- Setup and configuration. Sometimes ₹10,000 to ₹50,000, sometimes free, sometimes discovered in month two.
- Data migration. Getting your existing student list, fee history and marks into the system. Often quoted separately, and often the most annoying part of the whole project.
- Training. Whether your teachers get taught, and whether the second batch of teachers next year also gets taught.
- A mobile app. Frequently a separate line item. Ask whether it’s a real app or a wrapper, and whether Play Store publishing is on you.
- SMS and WhatsApp messages. Almost always charged per message, on top. At scale this quietly becomes one of your biggest line items.
- Payment gateway fees. Usually 1.5 to 2% plus GST, paid to the gateway, not the vendor. Nobody can waive this, so be suspicious of anyone who says they can.
- GST. 18%. Check whether the quote includes it. Often it doesn’t.
- Extra branches or extra years. Ask what happens when you open branch two.
What we charge

Essentials covers academics, attendance, assignments, announcements and schedule. Growth adds parent messaging, analytics and feedback. Complete adds fees and payments and behaviour records. Video and live classes, AI assist and a native mobile app are add-ons, priced separately, because most institutes don’t need them and shouldn’t pay for them.
No setup fee. Onboarding and light data migration are included. Twelve months prepaid gets you two months free. Payment gateway charges go to the gateway, not to us.
We should be honest about who this is wrong for. If you have 90 students and one batch, ₹18,000 a month is not a sensible thing for you to spend. You’d be buying capacity you won’t use. Come back when fee follow-ups start slipping or a second batch starts.
How to compare two quotes fairly
Put both on paper and work out the three year total, including GST, setup, migration, messaging, and the size you expect to be in year three. Not the monthly number. The three year number.
Then ask both vendors the same five questions:
- What is the total in month one, including everything?
- What does this cost when I have twice as many students?
- Can I export all my data, in a usable format, whenever I want?
- What happens to my data and my portal if I stop paying?
- Can I run a pilot with my own real students before I commit?
The fifth one matters most. Any vendor confident in their product will let you try it with your actual data. If the answer is a slide deck and a scripted demo on someone else’s dummy school, you’re being sold, not shown.
